The Earnings & Redemption dashboard provides a comprehensive overview of how points are being earned and redeemed within your Cooleaf platform. This page offers insights into user engagement with your rewards program at various levels of detail.
Understanding Your Data
Let's explore the different visualizations and information available on the Earnings & Redemption dashboard:
Monthly Earnings and Redemption Trends
This visual displays the total points earned and the total points redeemed within your organization on a monthly basis. It's important to note that points redeemed in a specific month may have been earned in a previous month. This view helps you understand the overall flow of points within your program.
Cumulative Earnings, Redemptions, and Running Balance
This visual tracks the cumulative points earned and the cumulative points redeemed over time, along with the running balance between the two (total earnings minus total redemptions). By default, this data is shown at an aggregate organizational level. If you wish to view the running balance for individual users, select the "Individual" button located above the chart.
Points Earned by Source
This visual tracks the cumulative points earned through the specific source in the platform over time.
Award Redemption Trends by Category
This view shows the count of reward items redeemed over the years, initially categorized by reward category. You can further explore this data by drilling down to see the specific items that were redeemed within each category. This helps you understand the popularity of different reward types within your program.
Earnings & Redemption Reports
Earnings Log
To access a detailed, user-level view of all point earnings and their corresponding sources, click the "Earnings Log »" button located in the upper right section of the page. This log provides a granular breakdown of how users are accumulating points within the platform.
Current Balance
This view provides a breakdown of the current points balance of each user. You can view total points earned, redeemed, and current balance. Be default this will show you all active and inactive users.
Redemption Order Detail
If you have HR Admin privileges for your organization, you will see an additional button labeled "Redemption Detail »" in the upper right section of the page. This report provides information about individual redemption orders. If a single order contains multiple redeemed items, the report will display the order details in aggregate on a single row. Key columns in this report include:
- Structure Level(s): Filter the report based on a specific structure level family within your organization. By default, this will display all data based on your organization.
- Structure Tags: Filter by a specific tag of your chosen Structure Level family.
- Points Applied: The number of points the user applied towards the purchase of the redemption order.
- Supplemental Amount Applied (USD): If the points applied did not cover the total cost, any additional funds used by the user will be displayed in USD in this column.
- Points Refunded: If any items in the order were returned, the number of points refunded to the user will be noted here.
- Supplemental Amount Refunded (USD): Similarly, if any supplemental funds were returned to the user due to a returned item, the amount in USD will be displayed here.
- Adjusted Points Applied: This is calculated as the "Points Applied" minus the "Points Refunded."
- USD Value of Adjusted Points Applied: This column represents the dollar value of the "Adjusted Points Applied."
- Gift Status: If the redemption was processed as a gift, this column will display "Gift," and further details about the gift may be available in other columns.
Redeemed Items Detail
This view provides a breakdown of the specific items that have been redeemed, categorized by both the reward category and the individual item name. If a user redeemed multiple units of the same item in a single order (e.g., two $25 gift cards), the "Quantity" column will reflect that number. Items that were originally redeemed but later returned will not appear in this table.
Points Refund Detail
To view detailed information about points that have been refunded due to returned items, click the "Points Refund Detail »" button. This view will provide a granular look at point refund transactions.
Filtering Your Earnings & Redemption Data
To refine the data displayed on this page and focus on specific aspects of point activity, you can utilize the following filters:
- Date: Filter the data based on specific time periods.
- Leadership Hierarchy Visibility: View earnings and redemption data based on different levels within your organization's leadership structure.
- Structure Tag(s) People Visibility: Filter earnings and redemption data based on specific structure tags you have implemented (e.g., department, location).
- Active/Inactive Status: Filter to view earnings and redemption data for only active users or only inactive users.
- Structure Level(s):Filter the detailed report based on a specific structure level family within your organization.
- Structure Tags: Filter by a specific tag of your chosen Structure Level family.
- Role: Filter earnings and redemption data based on user roles within the platform.
- Type > Sub-Type: (Available in the "Earnings Log »" page only) Filter the earnings log by specific earning types and sub-types.
- Gift Status: (Available in the "Redemption Order Detail »" and "Redeemed Items Detail »" pages only) Filter redemption data to show gift redemptions or non-gift redemptions.
Important Considerations:
- Filtering by Structure Level: Exercise caution when adjusting the "Structure Level" filter. By default, the primary structure level is displayed. Filtering to secondary or optional structure levels may result in an incomplete view of redemption activity, showing only those users belonging to the selected levels.
