Enrollment is the crucial first step in driving engagement, and this page offers various perspectives on your program's enrollment health, allowing you to identify trends and areas for focus.

Enrollment Rate Over Time
This visual allows you to track your team's enrollment rate in comparison to the overall organization's enrollment rate at different points in time. The calculation for the enrollment rate in a given month is based on all users who were eligible to be registered in that specific month (e.g., "Of the users who were eligible to enroll in January 2025, 92% were enrolled"). This is a valuable view as it provides a historical perspective on enrollment trends across your entire user base, not just those who are currently active.
Percent of New Hires Enrolled Within 1 Month of Start Date
This chart displays the percentage of new employees who enrolled in the Cooleaf platform within 30 days of their hire date. The horizontal axis (Year/Month) indicates the hire year and month, while the bars represent the percentage of new hires within that cohort who enrolled within their first month. Consistently high rates in this view are indicative of effective onboarding processes and strong communication about the Cooleaf program to new employees.
Enrollment by Leader
This view presents the current enrollment rate for each immediate leader within your organization and all the employees who directly report to them. This visualization is particularly useful for managers and administrators to identify teams where enrollment may be lower and provides opportunities for targeted efforts to encourage participation.
Enrollments by Date
This chart shows the count of unique enrollments over time, with the default view set to an annual level. For more granular insights, you can hover over the chart. This will reveal drill-down icons in the upper right corner of the visual, allowing you to explore enrollment counts by month or even by day. This level of detail is especially helpful for understanding initial adoption patterns immediately after your program launch and for measuring the impact of specific activation campaigns or communications rolled out on particular dates or within specific date ranges.
Enrollments Reports
For a more detailed, user-level breakdown of who is and is not enrolled in the platform, click the "Enrollment Report " button located in the upper right section of the page. This report provides a granular view of enrollment status for individual users.
Filtering Your Enrollment Data
To refine the data displayed on this page and focus on specific segments of your organization, you can utilize the following filters:
- Date: Filter the data based on specific time periods.
- Leadership Hierarchy Visibility: View data based on different levels within your organization's leadership structure.
- Structure Tag(s) People Visibility: Filter data based on specific structure tags you have implemented (e.g., department, location).
- Active/Inactive Status: Filter to view data for only active users or only inactive users.
- Role: Filter data based on user roles within the platform.
- Enrollment Status: Filter the user-level report by enrollment status (e.g., enrolled, not enrolled).
Important Considerations:
- Active and Inactive Users by Default: By default, all visualizations on the Enrollment Page include both active and inactive users to provide a comprehensive historical view.
- Exceptions for Enrollment Rate and New Hire Enrollment: The "Enrollment Rate Over Time" and "Percent of New Hires Enrolled within 1 Month of Start Date" visuals are specifically designed to consider all eligible users (both active and inactive at the time of eligibility). Therefore, these two visuals will not be affected by any selections made in the "Active/Inactive Status" filter. This ensures the accuracy of these historical enrollment metrics. To filter the other visuals by active or inactive users, expand the "Filters" flyout and select the desired status within the "Active/Inactive Status" filter.
