The Suggestion Box is a great way to gather quick and immediate feedback from your organization on a specific topic. This survey-like prompt can cover anything that matters to your organization, whether it's feedback on the latest initiative, updates to your platform, or something as simple as what snacks should be in the break room.
The feedback can be submitted multiple times by your users, and the submitter can choose to submit anonymously or to share their name. Just like a suggestion box in real life, you can have boxes open in your platform for a limited time or indefinitely.
Setting up a Suggestion Box
- Visit the Manager Panel and navigate to the Lightbulb icon in the left panel to enter the Suggestion Boxes Menu.
- Click Create New on the top right.
- Enter a title that encapsulates the type of feedback you are seeking, as well as a more detailed description. Click "Create" once you have entered these details, or "Save as draft" to return later.
- Enter the question you would like to ask in the "Questions" tab. Optionally, you can include an input hint to guide users on what kinds of information you are looking to capture.
- In the "Settings" tab, target the suggestion box to the entire organization, individual teams, or select people.
- Use this tab to set the schedule. You can have the box open for a limited time or indefinitely.
- Optionally, you can change the Coordinator, and give multiple users access to the results.
Note: It is best practice to maintain an HR Admin as one of the coordinators so that they can view results. - Additional instructions can also be added. These instructions will appear at the top of the Suggestion Box response form that the users will interact with. If nothing is written, this default text will be displayed: Please take a moment to share your thoughts in the form below.
Suggestion Box Completion - User Views
An email will be dispatched to all targeted users informing them that a new Suggestion Box has been created to gather their feedback. Additionally users will receive an in-app notification when a Suggestion Box is live.
A new intractable lightbulb icon will also appear in the bottom right of the platform whenever there is an active suggestion box.
These areas of the platform will allow the answer prompt to appear. Users can then respond to your question and choose whether or not to remain anonymous.
If you have multiple questions active, users can toggle between the active boxes at the top right of the form.
Viewing Suggestion Box Results
- Navigate to the Manager panel and click on the lightbulb icon to direct to the Suggestion Boxes page.
- If you are a coordinator on a suggestion box, you will see the option to download results in both the "Ongoing" and "Past" tabs
- After clicking "Download Results" you will receive a new prompt to choose a time period. Choose a preselected amount of time or input a custom length of time.
- When you are ready, click "Generate Report." This will email a report directly to you.
Note: You can also return to the "Download Results" prompt at any time and click the dropdown "Last generated reports" in order to re-email or directly download any of the suggestion box's previous reports.
